JOB DESCRIPTION: TENANT LIAISON OFFICER –REF ( TLO/001 )
RESPONSIBLE TO HOUSING MANAGER
LOCATION: DUBLIN OFFICE
BASIS: 12 MONTH FIXED TERM ONLY
SALARY: €37,298-€53,299 PER ANNUM 
 

JOB SUMMARY

The post requires excellent planning and organisational skills, administration skills, a dedication to detail and a willingness to adapt to ever changing conditions and pressures.

KEY RESPONSIBILITIES

Reporting to the Housing Manager or other appropriate line manager’s in the Housing Department, the successful candidate/s will be required to:
  • Establish contact and liaison with Tuath Tenants both directly and through their respective residents associations;
  • Facilitate and promote the establishment of new residents associations where required; in all scheme of over 30 units and be the point of contact with RA once established;
  • Prepare and implement, in conjunction with residents associations, various action plans and projects for improvements in estate management;
  • Liaise with tenants/house-owners regarding any remedial/regeneration works schemes proposed by Tuath Housing and act on behalf of the Tuath as tenant liaison on these schemes;
  • Mediate and liaise, where possible, on tenant and resident conflicts and seek to resolve disputes;
  • Produce a comprehensive database of communications for tenants with, disabilities, language issues, elderly, etc;
  • Conduct tenant surveys to get feedback on initiatives/communications/services from the Housing department;
  • Setting-up and managing social media interaction with tenants to ensure that we are utilizing social media as an important tool for communicating to and with tenants; 
  • Co-ordinate tenant events; 
  • Establish and manage a national tenant’s forum;
  • Carry out annual tenant satisfaction surveys;
  • Inform tenants of supports and funding’s available to them;
  • Responsibility for co ordinating tenant communications including the bi-annual newsletter;
  • Liase with residents prior to contractors commencing pre works or planned works to ensure residents are fully aware of the scope of works, estimated timescales and the tenant responsibilities;
  • Carry out duties with due regard to health and safety legislation;
  • To attend meetings at evenings and weekends as and when required;
  • Any other duties as required;

JOB DESCRIPTION: HOUSING ADMINISTRATOR – ( HSADM/003)
RESPONSIBLE TO: HOUSING MANAGER
LOCATION: GALWAY
BASIS: PERMANENT – 3 DAY WEEK (30 Hrs) 12 MONTH FIXED TERM
SALARY : €25,367- €28,248 PER ANNUM PRO RATA
 

JOB SUMMARY

The post requires excellent planning and organisational skills, administration skills, a dedication to detail and a willingness to adapt to ever changing conditions and pressures. To deal with all aspects of administration within the Housing Services team to provide support to other internal Departments and regional office.
 

KEY RESPONSIBILITIES

 
Housing Department:
 
  • Responsibility for answering telephone calls, logging and dealing with enquiries, including sharing in the cover of Main Reception / switchboard duties in absence of Reception staff.
  • Overseeing of contractors and processing of invoices, post repair analysis;
  • Liaising with staff in other departments and with external contacts;
  • Sorting and distributing incoming post and organising and sending outgoing post, including mail merges;
  • Ability to prepare and analyse Departmental Reports; 
  • Assisting with general administrative duties within the organisation as required;
  • Contributing to the effective delivery of a Quality Service through the formulation, review and proper implementation of policies and procedures;
  • Providing general administration support to the Housing Team as required including but not limited to scanning documents, postage, file management, stationary requirements;
  • Managing the team diaries; 
  • Monitoring and re directing group and departmental incoming e-mails from third parties; 
  • Collating agendas for meetings, minute taking and circulation of minutes; 
  • Assisting the Housing Services Co-ordinators with managing pre-tenancy meetings; 
  • Assisting the team in following up with external and internal stakeholders for information as required; 
  • Assisting in maintaining information and records and preparing reports for relevant stakeholders both internal and external; 
  • Assisting with the maintenance of soft filing system and developing and maintain directory of template documents; 
  • Maintaining directories of external stakeholder information such as contact details and other required information that supports the delivery of social housing units as required; 
  • Request / Attend training appropriate to your role;
  • To participate in forums at certain times;
  • Any other duties as required.
 
Corporate Responsibilities

  • To undertake any training courses deemed necessary for your role if it evolves;
